The Alabama Community College System and Trenholm State Community College are utilizing COVID-19 testing services through the UAB GuideSafeTM Platform, powered by UAB. As part of this effort, UAB will be randomly selecting community college students and employees to participate in COVID-19 testing each week.

To support a safe and healthy environment at Trenholm State Community College, we are implementing sentinel testing across our campuses. Sentinel testing is a random sampling of all asymptomatic faculty, staff and students to understand the underlying prevalence of infection at our college so we can respond promptly to any outbreaks or increases in infection rates. You are strongly encouraged but not required to participate in testing but there will be no penalty for those who choose to opt out.

Over the next few weeks you may receive an email from Healthy@Verily.com asking you to schedule an appointment for COVID-19 sentinel testing. Some of you may have already received this email. If you did not receive it or do not receive one over the semester that is OK. Log into your Verily account to complete pre-test symptom screen and schedule your COVID-19 sentinel test.

If you have tested positive for COVID-19 in the past 12 weeks, please do not retest at this time. Governor Ivey Issues Amended Safer at Home Order

MONTGOMERY –Governor Kay Ivey on Thursday issued her seventeenth supplemental emergency proclamation containing an amended Safer at Home Order that includes a statewide mask requirement. Individuals will be required to wear a mask or other facial covering when in public and in close contact with other people, as described in the order. This amended order extends until Friday, October 2, 2020 at 5:00 p.m.

Attached is MEMO-2020-EXE-072 from Chancellor Baker relating to participation in UAB GuideSafe COVID-19 Testing Services. You may have seen the billboards and other advertisements regarding the testing service.

According to the memo, the testing is divided into two phases. Phase I is only applicable to residential students, and Phase II applies to randomly selected students and employees. Residential students in Phase I will receive an informational email from UAB this week that will require them to register for the COVID-19 test. Participation is required.

Phase II is randomized testing of students and instructors each week. Members included in Phase II will also receive an informational email from UAB.

MONTGOMERY – The Alabama Community College System (ACCS) announced today that online instruction will continue at all of its campuses through the remainder of the spring semester. In addition, due to restrictions on event sizes by state and federal officials, all traditional commencement activities will be postponed.

“Every decision concerning the operations of Alabama’s community colleges is being made with the health and safety of our students, faculty, staff, and administrators at the forefront,” said ACCS Chancellor Jimmy H. Baker. “While we couldn’t have imagined what this semester would look like for our colleges, I am incredibly grateful for the creativity, resilience, and commitment to learning shown by our faculty, staff, and students during this difficult time.”

ACCS colleges will offer summer courses. As circumstances continue to evolve, a decision will come at a later date and with guidance from local, state and federal administration on whether these classes will be offered in-person or online. College campuses remain closed to public gatherings.

Trenholm State Community College (TSCC) has received notice that one of TSCC students tested positive for COVID-19 and is currently quarantined and receiving medical treatment in accordance with public health protocols. The student was last on campus on March 12, 2020. Out of an abundance of caution and in our efforts to stem the spread of the Covid-19 virus, we are notifying, instructors and all students in the student’s classes, to the extent possible. These individuals will be asked to self-quarantine for the next 14 days.

Please know that recognizing our students academic accomplishments are of great importance to the Trenholm State Community College family. However, due to the COVID-19 and the safety of our students, faculty, staff and the community,  Chancellor Baker of Alabama Community College System has directed all colleges to cancel all traditional commencement ceremony. Your TSCC staff will begin discussions on alternative commencement ceremonies including but not limited to virtual, summer and late fall ceremonies.  More information will be forthcoming as plans are developed and finalized.

RE: Coronavirus (COVID-19), College Operations

As you know, effective Monday March 16, Governor Kay Ivey authorized agency directors to implement telework, flexible work schedules and to practice social distancing for the next three weeks due to spread of COVID-19 in the state.

Chancellor Baker has encouraged each college to heed the guidance in Governor Ivey’s memo and to use our discretion to transition our employees off campus. It is his expectation that instruction will continue through alternative delivery methods identified in our instructional plan which is due to the Chancellor tomorrow.

In accordance with the Chancellor directive, I am advising each dean and director to advise employees to work from home if possible tomorrow. We will be working on Monday to develop a campus-wide telework strategy to become effective on Tuesday.

The memorandums from the Governor and the Chancellor are attached. I ask that each of you continue to watch for updates regarding campus and instruction operational plans that will become effective on Tuesday, March 16, 2020.

Trenholm State Covid-19 INSTRUCTIONAL PLAN

Trenholm State Community College will adopt a modified schedule of instruction that will include the following:

1. Trenholm State Community College will be on Spring Break the week of March 16-20, 2020. All courses that are currently online will be used as templates for the development of new courses. The college is currently working to place CANVAS training online in order for faculty to have access by no later than March 20. 2020. This will allow faculty who have not received CANVAS training or in need of a refresher with professional development training. Additionally, instructional clusters will be created to assist novice faculty with set-up and assistance of online course delivery. Newly created online classes will be active March 23 -27, 2020. Instructors will be required to post all assignments and assessments via use of multiple College platforms which include CANVAS, Microsoft Teams, Google Teams and email.
2. All classes currently online will continue instruction on March 23, 2020 as outlined in instructional course syllabi. Instructors who have any required on-campus meetings (testing/tutoring) will revise syllabi and utilize the College’s LMS or other meeting platforms for delivery of content and student services.
3. Clinicals/Preceptorships: All decisions about clinical instruction will be guided by recommendations or directives received from statewide governing and national accrediting bodies. The College will follow the Alabama Board of Nursing directive which states: Students who have completed 50% or more of the clinical or preceptorships rotation will have completed the clinical requirements. If less than 50% of the required clinical or preceptorship hours have not been met, the health program faculty will assess each student individually to determine what is needed to complete the 50% threshold.
4. Career and Technical Education Courses: Theory components of Career and Technical courses will be placed online. In order to assess technical proficiency, faculty will devise questions within the online platform. Students requiring laboratory contact hours will be provided flexible scheduling and/or online simulations.
5. Academic Courses: All non-online academic courses will be transitioned to online platforms.
6. Dual Enrollment: Dual enrollment will follow the same transitional guidelines as traditional students. LEA will be contacted to discuss alternative plans and impending updates.
7. Library Services: Instructors will utilize the College library databases and multimedia sources which are organized by institutional programs to supplement online instruction. (https://www.trenholmstate.edu/current-students/student-resources/library/ )
8. Instructional administrators will communicate with their respective faculty members minimally twice a week to receive programmatic updates. All instructors will be expected to communicate with students minimally twice a week via email, discussion boards, or Microsoft Teams. However, since courses will be transitioning to online format faculty must respond any student inquiries within 24 hrs. Monday- Friday.
9. The College will reamind and encourage students to use the online tutoring service, Smarthinking for access to on-demand, individual instruction and other academic support assistance from expert online tutors.

This plan is subject to change based aon directives received from the System’s office.  

Trenholm State Covid-19 TELEWORK PLAN

Due to the Coronavirus (COVID-19), all employees are to work from home if possible. All deans and directors will work closely with their staff to continue essential functions of the College. If working from home is not feasible, each dean and director must contact the Office of the President immediately and provide recommendations on how to continue those necessary functions while minimizing employee exposure to COVID-19. These recommendations should include limited time or flexible work schedules to accomplish the essential functions.

All employees should plan to return to regular work schedules on Monday, April 6, unless otherwise directed.

Open lines of communications are needed between the College, faculty, students and staff. Each dean and director must communicate with their staff a minimum of twice a week. This can be accomplished through email, Microsoft Teams, Zoom, YouTube Live and Facebook Live. The purpose of the communication is to ensure everyone is updated on COVID-19 impact on College functions.

There are several planned student activities that have been impacted. The Student Services Division are working to change dates for the following activities: priority registration for continuing and new students, WorkKeys testing, student elections for SGA, Student Appreciation Day, ACCUPLACER Testing, Career Fair, PTK Induction, and NSLS Orientation. Campus Tours have been cancelled for the remainder of the 2020 spring semester.

The Student Services Division will update students via email, discussion boards, Microsoft Teams, Facebook, Twitter, Instagram and the College’s website regarding enrollment, registration, transcripts, schedules, termination and withdrawals, workshops, and other student activities. We encourage students to use the online tutoring services. Students should contact the Acting Dean of Students, Betty Edwards (bedwards@trenholmstate.edu) if you have questions.

If a student or employee is diagnosed with COVID-19, he or she must stay home for the recommended 14-day period. Students should contact the Acting Dean of Students, Betty Edwards (bedwards@trenholmstate.edu). All employees should contact their immediate supervisor.

The Business Office will have limited operations. Invoices, along with all supporting documentation should be forwarded via email to Shonda Robinson srobinson@trenholmstate.edu indicating whether the invoice should be approved for payment, left open or closed.

Travel reimbursements along with supporting documentation should be forwarded via email to your dean, supervisor, or Title III approver. The dean, supervisor or Title III approvers should forward to Ms. Robinson via email indicating whether they are approved for payment.

Check request should be forwarded through the approval process via email. The final approver should email all information directly to Ms. Robinson notifying her of approval to pay.

Mail will be picked up on all campuses on Mondays and Wednesdays beginning at 10:00 a.m. and will brought to B103 in the A/B building on Trenholm campus. The mail will be sorted but not delivered.

Unless pre-approved by the Office of the President, no one is allowed on Campus. A list of approved personnel will be provided to the campus security if your presence is necessary to perform essential functions on campus. Each dean and director must provide those names to Robert Allen at rallen@trenholmstate.edu.

The Campus will continually be cleaned and sanitized to prevent the spreading of COVID-19.

Everyone is urged to:

• Social distance and limit attendance at large gatherings.
• Stay at home, if any symptoms of illness, like fever or cough are present.
• Wash hands with soap and hot water often.
• Avoid touching nose, mouth and eyes.
• Be diligent about workplace sanitation and play close attention to cleaning surface.
• Avoid close contact with co-workers (maintain separation of at least 6 feet).
